Almost within an hour of the news breaking the US Airways corporate communications chief was able to introduce his CEO to the world’s media, and give an informed and prepared statement that demonstrated a corporation reacting swiftly and competently to the unfolding incident thousands of miles from the airline’s Arizona base.

This reaction was no accident. Airlines, like many other organisations across every sector, regularly practise responding to emergency situations. They never know when an incident is going to happen, what form it will take and how bad the crisis might be (imagine if the US Airways plane had crashed into buildings in Manhattan) – but they do know they will need to respond quickly, calmly and effectively demonstrating that they on top of the situation and responding appropriately. And they need to focus on communicating as much inside their organisation as they do externally.

Crises can come in any shape or form, usually when you least expect them. And they can hit any organisation, whatever the sector. Whilst airline disasters will be very public and high profile events, professional services firms can also be impacted by events that can quickly turn into a crisis.

Indeed, the crisis may not even come from an isolated situation but perhaps from a sudden change in business conditions – witness the number of well known retail brands going into administration right now – or other adverse trading conditions. Any firm that operates in the property sector will be considering all eventualities at present, with increasingly large scale redundancies being announced almost every week. For many no doubt their situation can be described as a crisis.

How the firm deals with a crisis will say a great deal about them – particularly to their employees. Recent years have seen a long period of business growth and relative prosperity. Many internal communications messages will have been bullish about the outlook, excited about the potential of the business and challenging employees to achieve great things in the future.

When we at Gatehouse talk to our clients we now advise that the messages need a different tone, a dose of realism, sensitivity, empathy and an appreciation that many employees will be most concerned about whether they will retain their jobs. In these times the firm needs more than ever to be open and honest with its people and live up to the values it espouses – the danger for not doing so is that trust will be lost and take years to build back up. Effective internal communications has as important a role to play in protecting your business – and your reputation. But how do you make sure that you are ready to address such a crisis? Outlined below are some of the ‘dos’ and ‘don’ts’ of communicating internally during a crisis.

Dos:

1.    …agree key messages – and stick to them

Agree what your business stands for, what it believes and what it wants others to know about it. A clear articulation of your key messages will help your leaders stay focused and consistent – whether they are talking internally or externally, and will support your front line staff who will need to fend off client enquiries. Your brand and your reputation depends on it.

 2. …be sure you know how to get in touch with your people quickly

It is one thing agreeing what messages to send out but can you be confident that your distribution channels are sufficiently robust? If most of your communications are currently sent via email or intranet but a crisis meant people couldn’t get to the office and won’t have access to blackberries or laptops do you know how you will contact them? Ensure that channels such as telephone cascades and emergency hotline numbers are regularly updated and can work at a moments notice.

3. …make sure internal and external channels are aligned

You only want one articulation of what is happening and what you are doing about it. The credibility of your internal channels will soon be lost if the firm is saying something else in the media.

4. …be creative and use the best channel for the situation

Consider every scenario, however unlikely and ask yourself whether your existing channels are sufficient. A crisis can actually provide an opportunity to use new channels, especially social media, as you might find you need to keep people aware of what is happening more frequently than the daily intranet news headline that you are used to posting. You might think about starting a blog that can be updated quickly and easily or creating a message board to encourage colleagues to share their feelings, ask questions or offer support.

5.    …keep communicating

Once people know their firm is going through a crisis they will want to know what is happening – constantly, until the crisis is resolved. And they will, before long, want to know the longer term implications.

6.    …offer a place to go for answers

Offer people a place to go for answers or reassurance and then listen to what they tell you. You will need to be able to respond quickly – your people will thank you for it.

 7.    …ensure your leaders are leading

Leaders set the tone – without their buy-in your communications can only go so far. Leaders have a prominent role to play internally as well as externally. Involve them in your plans as they need to know in advance what will be expected of them and how they need to react at such moments.

Don’t:

1.    …think it won’t happen to you  Crises can come in any shape or size without warning. They can happen to anyone. I worked for a large financial services organisation in the 1990s whose head office was blown up by a terrorist bomb – it could have been any bank or any building.

 2.    …leave it till tomorrow

 There will always be something more pressing, something needed yesterday. Unfortunately the crisis won’t wait quietly in line. Your people won’t thank you if you were too busy to be ready.

 3.    …‘sugar coat’ the message

 There will always be a temptation to tell everyone things are under control even when they are not. Honesty normally pays. Remember people may see events unfold on television or through the newspapers. If you are giving a different, more positive perspective of what is happening then make sure your messages are rooted in reality.

 4. …restrict communication to those directly affected

 In these days of global firms, your colleagues in other offices across the world will know you are suffering a crisis. So will their clients. Don’t forget them – they will be concerned about people they know, people they are working with and want to help.

 5.    …assume people know what to do

 Most crises are one-offs that will suddenly strike. Employees will look to the organisation for guidance – that means you. Never assume the solution is obvious, particularly during times of stress.

 6.    …panic

 You need to be calm even in the eye of the storm. Be like the vice-president of corporate communications at US Airways, take responsibility, be in control of the situation. If you can do that, when the crisis passes your senior management will thank you and the reputation of the communications department will be greatly enhanced.

The is a general lack of coverage of wars today. Some may claim it is because the same people who profit from the wars (construction companies, other contractors), control or influence the companies that own the media. Whether this is true, or not I do not know, though it is certainly possible.

What is obvious is certain news organizations have biases towards certain political parties. For example Fox news is was more biased towards the Republican candidate in the 2008 election. Perhaps, they are biased towards whomever is in power. MSNBC was more biased to the Democratic Candidate, Barak Oboma. not only do they support certain parties, but they make fun of each other for supporting a particular party.

Because today’s news organizations are biased in politics, they would obviously be biased in reports of war as well. Political success often depends on military success. News organizations are also biased towards nationalities, in order to gain international support for their own country, as opposed to the enemy’s. The only way to get unbiased knowledge of a war or conflict is a complete Military and War Information Source. By seeing everyone’s opinions and brodcasts, you can decide for youself what is going on in a conflict.

Besides the media, direct footage from the troops is also a good source of information. Troop footage of war can provide a direct and unfiltered look at a war or military conflict. The troops use their own personal cameras to film what they see, and directly upload it to the Internet, so there is no large corporate filter.

Though it can be difficult to find a trustworthy source of information when it comes to military issues, a thorough search of online military resources can yield the information you seek. Check sources on both sides of the conflict, as well as independent sources, and your should be able to draw a reasonable and unbiased conclusion.

Exhausted Interns: Doctoring While Impaired

The common practice of requiring physicians-in-training to work many double, and even triple, shifts results in performance reductions equivalent to the effects of drinking several ounces of alcohol, according to a new study led by a University of Michigan sleep researcher published in the Journal of the American Medical Association.

Depending on the type of medical or surgical care they decide to specialize in, young doctors can spend anywhere from three to 12 years in training. The first year — the internship — is considered the most intense.

Thirty-four Brown University Medical School pediatric residents completed standardized tests following two different schedules: a month of 44-hour work weeks in office-based clinics with no overnight duties; and a month of 90-hour work weeks, including day shifts in the hospital’s wards or intensive care units, plus overnight shifts once every four or five nights.

Vigilance, Attention

Following the month of longer hours, the doctors’ vigilance, attention and driving skills were found to be impaired. Their test responses were equivalent to their performance after consuming three to four alcoholic drinks following a month of lighter duties.

“This adds to the growing evidence that sleep deprivation among medical residents significantly impairs their ability to perform, although it is important to note that we did not assess performance on specific medical tasks,” says J. Todd Arnedt, PhD, a sleep psychologist who is a clinical assistant professor of psychiatry and neurology at the U-M Medical School. Arnedt works in the the U-M Sleep Disorders Center and the U-M Depression Center Sleep & Chronophysiology Laboratory.

Three Hours Sleep

Sleep diaries and an automatic wrist-watch activity monitor verified that the residents on heavy work shifts got significantly less sleep per night on average than those with lighter schedules during the study period.

In the 24 hours leading up to the test days, residents on a light schedule slept an average of 6 hours and 37 minutes, compared with about 3 hours for the residents on a heavy schedule.

The residents were tested four times, in two separate sessions. Two of the tests were completed after they had worked a month of light duty without overnight shifts; the tests were given before and after they consumed three to four alcoholic drinks.

In the second session, they were tested on the day after an overnight shift that came at the end of a month of 90-hour work weeks. During this session, they were tested before and after drinking a non-alcoholic placebo beverage. Of primary interest were the tests conducted after they had drunk either the alcohol or the placebo.

Performance, Effort

The researchers asked the residents to rate their performance and effort on the tests. Ratings of impaired performance were higher following the month of heavy work shifts compared to the light schedules.

Residents also rated their effort as higher after heavy work shifts compared to the lighter shifts with alcohol.

In addition, the residents rated their levels of sleepiness. During the heavy call month, they felt more tired than during the light-call month, even after they had consumed alcohol on the light-call rotation.

They were not allowed to nap on the test day or to use caffeine after noon. All of the tests were conducted at 3 pm.

Reducing Fatigue-Related Impairment

Most of the tests took place before new work-hour restrictions were imposed by the Accreditation Council for Graduate Medical Education in 2003.

Residents now are subject to the following rules: an 80-hour weekly work-hour limit; a 24-hour limit on continuous duty time; in-house call duty no more than once every three nights; and one day in seven free from all patient care and educational obligations. All requirements are averaged over four weeks.

The new regulations are “a good initial step,” Arnedt noted, “but the solution to the problem is not likely as simple as well-intentioned policies aimed at reducing work hours, which can themselves have negative ramifications,” he pointed out.

“Our study, like others before it, does raise concerns about the performance of sleep deprived physicians-in-training and suggests that strategies aimed at reducing fatigue-related impairments are likely necessary,” Arnedt said.

Alcohol Comparison

Arnedt and his colleagues are the first to study medical residents using the sleep deprivation and alcohol comparison model, which has been used in other populations, including truck drivers. Both sleep deprivation and alcohol consumption impair a person’s reaction time, attention, judgment, control and driving ability.

In a Harvard University study published earlier this year, the authors found that interns were more likely to have an automobile crash or near-miss while driving after an extended work shift.

Arnedt’s team found that skills on a driving simulator deteriorated in residents who were tested after an overnight shift in the hospital at the end of a month of heavy night work. The findings from these studies suggest that the personal safety of residents who drive home after working all night may be at risk.

“We need to continue to find simple, practical and effective strategies that hospitals and senior doctors can take to reduce sleep deprivation among residents,” says Arnedt.

As we were dating in Japan, Eric said there was not much difference between Japan and Singapore. After I decided to marry him, I thought I had better visit Singapore to see with my own eyes what Singapore and his family were like.

On the Singapore Airline flight, I read the feature article on Singapore in the flight magazine and found the sights of town very exotic. Is this Singapore? Eric said that Singapore and Japan is not much different. Is it true?

A Warm Welcome – Singapore Style

At Changi Airport, only Eric welcomed me. Strange, I thought. A Japanese fiancée coming all the way from Japan and no family member showing interest!? I arrived at night and everything was dark outside when we took a taxi home. I began to feel afraid. Where am I? At Eric’s terrace house only his parents were waiting for us. They were about my grandmother’s age. Half an hour later after our arrival, all Eric’s sisters and their boy friends came back to the house. I later understood that they did not want to make me feel uneasy by meeting all the family members at one time and so they deliberately delayed coming back home to meet me. That was a little relief, knowing their true and “good” intention, but still I felt strange.

My first culture shock came when I found myself not able to communicate with Eric’s parents. The father spoke Mandarin and the mother spoke only Hainanese. This was a shock to me as I thought I was a culturally adaptable, having lived alone in the States for many years

The second cultural shock came soon when I found the toilet adjacent to the kitchen area. This shock had a long lasting impact as every time we eat at the kitchen at his house I lost appetite quickly, being aware of the toilet location. If I could hear the flushing sound, that’s it. I would not eat any more!

Be Prepared For Tropical Living

But the most unbearing thing about Singapore in the initial period was the heat in the air. I could not stand the heat. I could not wear anything but cotton material no sleeve clothes only. This lasted a couple of years. I told myself no way I would wear polyester clothes which Singaporeans liked. All I wore in those initial years were either from Japan or hand made in cotton. I could not wear ready made clothes.

That first night, in Singapore, I stayed awake a whole night. Early in the morning, I heard a rooster crow. Yes, there were roosters crowing in Japan. But I was a city girl, I didn’t grow up with the roosters. I looked out of the window and saw an Indian man riding a bicycle. It was exotic, all right. But that was not what I had expected.

At the end of 3-week stay in my first visit to Singapore, I told Eric that I wanted to cancel the whole thing as I did not like Singapore. These initial cultural shocks were so great that it took me some time to open myself to Singapore, especially to Eric’s family. I knew their good hearts, yet, this feeling that they would never understand that I am Japanese persisted for many years.
